Ingest your knowledge
Set up a workspace — where your company’s files are ingested and stored. Upload two kinds of documents: RFP answers (RFPs you’ve already completed, typically question-and-answer pairs) and reference documents (policies, terms of service, privacy documents, any background material you expect to be asked about). Both feed the same knowledge base.
For each file, choose how thoroughly the AI should read it: Basic for straightforward files, Standard for balance, or Advanced — a top-tier model for complex, messy, or poorly structured documents. Everything lands in a searchable database of question-and-answer pairs, and every pair shows exactly where it came from: the source file, the section, the document type.
You can also query the knowledge base directly. Ask a question, get one consolidated answer with its sources and a confidence level. If the information isn’t there, it says so — plainly — rather than inventing an answer.
Let AI draft
When an RFP arrives, create a project: details, deadline, and a status so your team knows where it stands. Upload the RFP — Excel, Word, or Google Docs. For spreadsheets, the AI reads the structure and maps which columns hold questions, answers, and references; it picks sensible defaults and you can adjust before confirming. Every question appears in the platform, ready to work on.
Click Fill with AI, choose the workspace to draw from, and the platform searches your knowledge base by meaning — matching each question to the closest approved content. Drafts start coming back, each with its sources and a confidence level. For some questions it will report that no relevant answer exists. That’s deliberate: no answer is better than an invented one.
Review and submit
You stay in control of every answer. Click any row to see its sources. If a draft works, approve it — and you won’t have to revisit it next time you open this RFP. If it doesn’t, edit it or remove it. If it needs another set of eyes, flag it, add a comment, and assign it to a colleague — they’re notified, and the flag must be resolved before the RFP can be exported.
